Rock is an amazing system that tracks a huge number of data points. This is great news for you as it means down the road when you want to build your reports, all the data is available and ready. However, it also means it tracks and records lots of historical data that you may not need. The reason for this is that Rock doesn't know what you want and what you don't want. You might only need to keep copies of your scanned checks for 2 years, but another church might have a requirement to keep them for 5 years. Because it doesn't know the data retention requirements of every church, it keeps all this historical data around forever.

Perform these various tasks, many of them completely automated, to keep your database thin and trim:

  • Compress old communications so that they take up between 10-20% of the original message size. If you send out a lot of communications, this can add up quickly!
  • Store compressed communication content in your cloud storage provider to reduce the database size even more.
  • Remove old system e-mails (such as birthday notices, following suggestions, password reset e-mails) after a period of time. You don't really need to see that Rock sent somebody a password reminder 4 years ago do you?
  • Delete scanned check images after a set amount of time. Many finance teams only need these around for a year or so. Free up some space in your database by pruning these out once you don't need them anymore.
  • Find and expunge unused files from your database. Rock does it's best to delete these automatically but often these will slip through the cracks and end up wasting space.
  • If you are on SQL Server 2016 SP1 or later, or Azure SQL; you can instruct SQL Server to compress entire tables. This is completely transparent to Rock and can save massive amounts of space. The plugin will make recommendations to you about which tables are good candidates for saving space by compression.
  • View statistics about how fast your database is growing and how much you can expect it to grow over the next year.
